Tips For Planning A Large-Scale Party

By Sara Reighard

A great party is an event that people talk about for years, and while everyone tasked with planning a large party wants to be a great success, it's not always easy. We've all certainly been to a few events that were closer to disaster than success. Too keep your party near the success end of the scale, it is important to stay organized, work diligently and add a splash of creativity. Here are a few tips that might prove helpful.

The sooner you start thinking about the event and planning, the more successful it will be. So give yourself plenty of time to plan. Begin a few months in advance and set the date, time and location. Then send out a "save the date" notice or invitations to all who are likely to attend. A save-the-date approach is handy if you plan on sending out formal invitations later but want to get the word out that your party is already in the planning stages.

Sending out a "save the date" forces you to quickly set a date and then book a venue for your special party. Your selection actually can have an enormous impact on the success of the party. Not only will your guests enjoy a cool, hip venue, it actually reduces your workload because a place that is already fabulous requires less of a decorative touch to make it inviting. In Manhattan, large parties often are held in loft-style apartments, so consider contacting a firm such as Home Studios, Inc. and booking a loft. This firm has two unique lofts that have been used as private party venues as well as photo shoots and television product, product launch venues, corporate parties and much more.

Each loft is spacious, the larger loft is about 4,000-square-feet and includes wood floors, floor-to-ceiling windows, an exposed brick wall and 14-foot ceilings. There are two kitchens in this loft, as well, so you have plenty of space for caterers. The maximum number of people this loft can accommodate is 175 for a standing event or 125 for a sit-down dinner. The second loft is slightly smaller at 3,000-square-feet and includes maple floors, 13-foot-ceilings and rolling barn doors that open up to the loft's sleek kitchen. This loft can handle 100 to 125 people, depending on the type of event.

After booking the venue, sit down and create a huge to-do list. This will include every detail, small and large, that needs to be accomplished for the party. If possible, create a party planning team and delegate tasks to others. You can write down the task, who needs to complete the task and by when on your big list. Keep the list in a handy place with all of your other party-related contracts and receipts. If you do have a team of individuals helping you, consider a weekly meeting to discuss ideas and talk about what is left to do.

If you are a bit stumped about decorations, entertainment and food, it can be easier to plan the event if it has a special theme. This can also make it a bit more fun to plan as you toss around crazy ideas regarding food or entertainment or music. A theme can be as simple as using a holiday for inspiration or even a decade in time, just reach into your imagination and select something that suits the personalities of your guests.
